Dynamic and static QR codes

A QR code takes the form onto paper: a poster at the front desk, a flyer, a menu, a window sticker. Each form can have several QR codes, and the advice is to create one per place where it is promoted, so you can compare where scans come from. ClΓnica Vitta, in Miami, has two for its intake form: "Front desk" on the counter and "Fair flyer" on the leaflets handed out at an event.

Where to create it

In Forms β€Ί (form) β€Ί Share β€Ί "QR codes" card, New QR code button. The form must be published; until then the button is disabled.

The editor has two steps, Content and Appearance, with the code preview on the side the whole time.

Dynamic or Static

This is the one decision you cannot change later: the Type is only chosen when creating.

  • Dynamic (the default) β€” the image stores a short address of ours that counts the scan and takes the person to the form. That is why it counts scans, can switch forms after it is printed and can be deactivated. If your account has an active custom domain, people are taken to the form on your domain. It depends on your account continuing to exist.
  • Static β€” the image stores the form's address directly. Scans do not go through us, so it does not count scans, cannot change destination and cannot be edited or deactivated. In the table, the Scans column shows "β€”" and the only action is View and download.

When to use each: for almost all printed material, use dynamic. If Vitta redesigns the intake and publishes a new form, she points the front desk QR code to the new one, and the counter sticker keeps working. Static is for when you want the code to open the form directly, with no tracking and no redirect β€” and it also does not change if you remove your custom domain, because it always uses the standard address.

"Content" step

  • Name β€” required. Besides identifying the QR code in the list, it is used as the campaign on responses that come through this QR code, and shows up in Analytics in link format ("Front desk" becomes front-desk). So name it after the place: "Front desk", "Fair flyer".
  • Type β€” Dynamic or Static, only when creating.
  • Form the QR code opens β€” only shows when editing a dynamic QR code. It lists the account's published forms. Changing it changes where the printed QR code leads from the next scan on, and the QR code moves to the other form's Share tab.

"Appearance" step

  • Module color, Background and Corner color.
  • Module shape (Square, Rounded, Dots, Classy, Extra rounded) and Corner shape (Default, Square, Dot, Rounded).
  • Gradient β€” modules go from the main color to the Second color.
  • Error correction β€” from Low (7%) to Maximum (30%): the higher it is, the more dirt, folds or wear the code can take and still scan.
  • Center logo β€” PNG, JPEG or WEBP up to 500 KB. With a logo, error correction is locked at Maximum, because the center of the code is covered.

The preview warns you when the result is likely not to scan: low contrast (modules too light against the background) or inverted colors (modules lighter than the background, which many phones do not recognize). Take the warning seriously before sending it to print.

For a dynamic QR code, the final address is only created when you click Create QR code. Download the file after creating it, never from the preview.

Downloading the file

In the row's action menu, View and download shows the code, the address stored in it and three formats:

  • PNG β€” a 512 px image, good for screens, posts or documents.
  • SVG β€” vector, no quality loss at any size. This is what you send to the print shop.
  • PDF β€” an A4 page with the QR code name at the top and a large code, ready to print.

Scans

Only dynamic QR codes have statistics, in View scans. They show:

  • Scans (total), Last 30 days and the Scans in the last 30 days chart, day by day.
  • Responses from the QR code β€” responses submitted by people who arrived through this QR code. Compare it with scans: 120 scans and 15 responses on the "Fair flyer" mean many people opened the form and gave up.
  • Cities reached and the Countries, States, Cities and Devices lists, each row with the count and its share of the total.
  • Scans while deactivated β€” only shows when there are any. It means material with this QR code is still in circulation.

The card's table also has a Scans column, plus Created by and Created at, and a search by name.

Deactivate instead of delete

QR codes cannot be deleted. A printed code cannot simply vanish, so what you have is Deactivate, in the row menu. Whoever scans a deactivated QR code sees the QR code unavailable page, saying the code is not active and that they should contact whoever handed out the material. The scan is still counted separately, and Reactivate brings everything back whenever you want.

Vitta deactivated the "Fair flyer" when the event ended. Weeks later, the statistics showed scans while deactivated: leaflets were still going around town, so she reactivated the code.

A static QR code cannot be deactivated: the form's address is stored in the image.

Who can use it

Owner and Editor create, edit, deactivate and download. A Viewer sees the tab without changing anything.

Where to go next

  • Form link and custom alias (Share collection) β€” the link to share off paper.
  • Custom domain (Share collection) β€” dynamic QR codes leading to your company's address.
  • Response sources, UTM campaigns, devices and locations (Analytics collection) β€” the QR code in the campaign comparison.
  • Funnel, conversion and drop-off by field (Analytics collection) β€” where people who opened the form gave up.

In short: create one QR code per promotion spot in Share β€Ί QR codes; a dynamic one counts scans, shows cities, devices and responses, switches forms without reprinting and is deactivated instead of deleted; a static one opens the form directly but does not track or change later; download SVG for the print shop.
