Response limit, closing date and one response per person

Two controls decide who can still respond: the Accepting responses card closes the form by number or by date, and One response per person stops the same person from responding twice. The example is Clínica Vitta, in Miami, opening 40 free assessment spots for its "Skin Week", with sign-ups until 11/30 at 6:00 PM and one sign-up per person.

Accepting responses

It is in Forms › (form) › Edit › "Accepting responses" card, below Appearance. At the top, the card shows the count: 12 of 40 responses received with a limit, or 12 responses received without one.

  • Response limit — a whole number from 1. Leave blank for no limit. Vitta enters 40.
  • Close on — date and time in your local time. Leave blank to never close. Vitta enters 11/30, 6:00 PM.
  • Closed message — up to 500 characters. If blank, respondents see "This form is no longer accepting responses." Vitta writes: "Skin Week spots are full. Follow the clinic to hear about the next one."

Click Save settings. Unlike the rest of the Edit tab, this card takes effect right away, without publishing again: that is why it has its own button and is not part of "Save draft".

What happens when it closes

  • Anyone opening the link after the date, or once the 40 spots are taken, sees the title, the logo and the closed message. The questions do not show, so nobody wastes time filling them in.
  • Someone who opened it before and submits after also gets the closed message, and the response is not accepted.
  • Two people going for the last spot: one gets in, the other sees the closed message. Response 41 never goes through.
  • To reopen, raise the limit, change or clear the date, and save. It applies instantly.

How responses are counted

  • The count runs even without a limit. If the form already has 30 responses and you set a limit of 40, 10 spots are left.
  • Moving a response to the trash does not free the spot. Deleting it permanently does: use it to take a test or duplicate sign-up out of the count.

One response per person

It is in Forms › (form) › Edit › "Settings" card, in the One response per person selector. It lists the form's Email and ID document (any country) fields; No limit per person turns it off. Vitta picks its "Email" field.

The chosen field must be required and have no condition: without the value, there is no way to tell whether the person already responded. If it isn't, the editor warns you and does not save. Since it is part of the draft, it applies after you Publish.

What respondents see

On a second try with the same value, the submission is rejected and the message shows on the field itself: "We have already received a response with this email." (or "…with this document." for a document field). The other answers stay filled in on the screen.

The comparison ignores typing differences: email regardless of upper or lower case; ID document without spaces, hyphens or case differences. "ab-123" and "AB123" are the same person.

Details that avoid surprises

  • Responses received before you turned it on do not block anyone. Turn it on before sharing the link.
  • The Allow submitting another response button on the thank-you page opens a blank form, but the rule still applies: the same person cannot get through again.
  • A response in the trash still blocks. After you delete it permanently, the person can respond again — useful when someone got their details wrong and needs to sign up again.
  • If the rejection comes from the response limit, the person is not marked as having responded.

Where to go next

  • Thank-you page and redirect (Appearance and after submission collection) — the "Allow submitting another response" button.
  • Organizing responses: status, tags, notes and trash (Responses collection) — trash and permanent deletion.
  • Folders, duplicating, deactivating and deleting forms (Editing and publishing collection) — take the form offline at once.
  • Invites: one link per person (Share collection) — one link per person, good for one response.
  • ID document, address, phone and amounts (Fields collection) — the ID document field.

In short: in "Accepting responses" you set the limit, the closing date and the message, and they apply right away, without publishing; latecomers only see the message, and only permanent deletion frees a spot; "One response per person", in the Settings card, uses a required email or ID document field with no condition and rejects the second response with a notice on the field itself.
