Follow, pause and resend campaigns

Once sent, a campaign turns into follow-up: who received it, who read it, who clicked, who was left out and why. The Campaigns list shows how every campaign is going, and each one's report goes down to the individual contact. This article follows Loja Bem Viver's Black Friday β€” November after sending.

The campaign list

The list shows Name, Template, Recipients, Progress (sent, delivered, read and failed), Schedule and Status, with search by name and a status filter. Click the name to open the report β€” or, for a draft, to keep editing.

Statuses and what you can do in each

  • Draft β€” not sent yet. You can Edit and Cancel.
  • Scheduled β€” goes out on the set date. You can Cancel until then; it can no longer be edited.
  • Sending β€” messages are going out, including in waves. You can Pause.
  • Paused β€” stopped and waiting for you. You can Resume.
  • Done β€” nobody is left to send to.
  • Stopped β€” ended before finishing, because the number's quality dropped or the waves deadline ran out. It cannot be resumed.
  • Canceled β€” canceled before going out.

In any status there are Duplicate (creates an identical draft, with "(cΓ³pia)" in the name, without date or results) and View metrics. Resend unsent shows on finished campaigns. Delete is only for people with the Admin role.

Why a campaign is paused

The reason shows next to the status:

  • Paused manually β€” someone clicked Pause.
  • Reconnection required β€” the number's connection dropped. Reconnect in WhatsApp Connection.
  • Low number quality β€” a scheduled campaign reached its time with quality at Low.
  • Payment issue on Meta β€” Meta blocked sending because of an issue with your business account's payment method. Sort it out at Meta.
  • Link tracking unavailable β€” the campaign has a tracked button and the tracking subdomain is not active.

No pause clears itself. Once the cause is solved, click Resume. Resuming is blocked while the number is disconnected or at Low quality. Those who already received it do not get it again.

The campaign report

The top shows the status (with the reason, if any), the template, the total of recipients and the scheduled date. Below:

  • Cards β€” Sent, Delivered, Read and Failed, each with its percentage of sent.
  • Send funnel β€” the stages up to Clicked, Unsubscribed (EXIT), Already suppressed and the rates. Each number is explained in the Dashboard article.
  • Failures by code β€” when there are failures, the Reason, the Occurrences and the percentage, most frequent first.
  • Recipients β€” one row per contact: Contact, Status, Sent, Delivered and Read times, Clicked and Error, with a status filter.

Each message's status can be On hold (waiting for a wave, the time window or the scheduled date), Queued, Sent, Delivered, Read, Failed or Canceled. "Read" depends on the recipient's read receipts: people who turned that option off in WhatsApp stay as Delivered even after reading.

The most common failures

  • Number not on WhatsApp β€” the contact gets marked as No WhatsApp and is left out of the next campaigns.
  • Opted out of marketing messages β€” the person does not want marketing from businesses; the contact is opted out.
  • Marketing limit reached β€” Meta limits how many marketing messages a person gets in a period. It is worth trying again later.
  • Contact opted out β€” left after the campaign was built.
  • Template not approved or Template removed β€” the template was edited or deleted while the campaign was running.
  • Send not confirmed by Meta (not retried) β€” SendFast got no confirmation that the message went out and, so as not to risk sending twice, did not try again. The person goes into the resend.

Each contact gets the message at most once per campaign, even if they are in several groups or someone clicks send twice.

Exporting

  • Export recipients β€” as Spreadsheet (XLSX) or CSV, in any status. One row per contact, with name, phone, status, sent, delivered and read times, whether they clicked and the failure reason. It is the file to cross with sales or build the next audience.
  • Export PDF β€” shows when the campaign is Done or Stopped, and the report shows its real status. A one-page report with the numbers, rates and failures by reason, ready to send to people who do not use SendFast.

Resend unsent

On finished campaigns, Resend unsent creates a new draft, with "(reenvio)" in the name, whose audience is only the contacts whose messages ended as Failed or Canceled. Template, media, variables and time window are copied; date and deadline are not. The draft opens for you to review and send.

On Black Friday, Camila chose to send only those who fit that day; the next day, she used Resend unsent for the 400 left over. Anyone still inactive, opted out or without WhatsApp is left out again when sending.

Where to go next

  • Dashboard β€” what each funnel number means and the view of every campaign in the period.
  • Number limit and sending in waves β€” why a campaign is On hold or Stopped.
  • Drops and reconnection β€” the way forward when the pause is for reconnection.
  • Contacts β€” each person's message history.

In short: follow progress in the list and open the report to see each contact, resume paused campaigns by hand after solving the reason, export recipients as a spreadsheet or the PDF of a finished campaign, and use Resend unsent to create a draft with only those who failed or were left out.
