Invitations and roles

The Team screen answers a single question: who has access to this workspace and with what power. It has two tabs β€” Members, who's already in, and Invitations, who's been called and hasn't joined yet.

Inviting someone

Click Invite person and fill in three fields: Name, Email and Role.

The name is required, and not out of bureaucracy: it's how you recognise who's in the pending invitations queue (a list of bare email addresses says nothing a week later) and it's what comes pre-filled in the sign-up of whoever accepts.

The person receives an email with a link valid for 7 days. Someone without an account creates it right there and comes in already verified; someone who already has an account just confirms joining.

On the Invitations tab you follow each one's status β€” Pending, Accepted, Revoked or Expired β€” plus who invited them and how many times the invitation was sent. From there you can Resend (with a short interval between sends) or Revoke invitation, which makes the link stop working immediately.

The three roles

  • Owner β€” answers for the account and the billing. Does everything, including deleting the workspace, and is the only one who sees and edits the team's hourly cost.

  • Admin β€” manages team, customers, projects and tasks, sets the hourly rate and approves timesheets. Doesn't touch the owner and doesn't delete the workspace.

  • Member β€” tracks their own hours, creates and edits tasks, and sees customers, projects and team. Doesn't change customers or projects and doesn't see amounts.

Two things that usually raise questions:

  • The owner is untouchable. An admin can't demote or remove them from the workspace β€” there's nobody above the person who answers for the account.

  • Members create tasks on purpose. Without it, nobody could track hours on anything an admin hadn't set up first, and the team would sit waiting.

To change it, use Change role in the person's action menu. The role applies per workspace: the same person can be an admin in one and a member in another.

Removing someone

Remove from workspace takes away access, and that's all. The account still exists, the hours that person tracked stay in the reports, and they can be invited again later. It's the right path when someone leaves the team β€” deleting hour history isn't an option, and shouldn't be: that time was worked and invoiced.

Seats and billing

WiseData Time is billed per seat: a person with access to at least one workspace takes a seat, and the same person in two workspaces counts once. The number of seats in use sits at the top of the screen.

Two rules that avoid surprises on the invoice:

  • A pending invitation doesn't take a seat. Billing starts when the person accepts.

  • Before sending the invitation, the screen shows what the team will cost per month and the pro-rated charge that happens at the moment of acceptance. You decide knowing the number, not afterwards.

When you remove someone, the amount drops proportionally β€” the credit generated goes against your next invoices instead of back to the card.

Switching workspaces

If you belong to more than one workspace, the switcher at the top moves between them, and everything on screen becomes that space's: customers, projects, hours and team. Creating additional workspaces is part of the Enterprise plan.

Where to go next

  • Hourly rate β€” the per-person rate and who can see it.

  • Team cost and margin β€” why cost stays with the owner only.

  • Plans and billing β€” how a seat becomes an amount on the invoice.

  • Approving hours β€” who approves whose timesheet.

In short: invite with name, email and role; the link is valid for 7 days; Owner answers for the account and sees cost, Admin manages everything but the owner, Member tracks hours and creates tasks. Removing takes away access without erasing hours, and billing follows the number of people with access β€” a pending invitation doesn't count.
