Reports and exporting

Reports is the reading of hours already tracked, sliced the way the conversation demands: by period to check the month, by customer to justify an invoice, by person to understand team allocation, by tag to find out how much meetings cost.

The filters

The Period is required and capped at 366 days β€” the widest legitimate slice anyone asks for is "all of last year". Alongside it, you combine:

  • Customer, Project, Person and Tag.

  • Billable β€” all, billable only or non-billable only.

  • Approval β€” approved only, awaiting approval, changes requested or not submitted yet. It's the filter that separates what's been reviewed from what's still loose.

Totals and the axis

At the top sit Total hours, Billable hours, number of Entries and, for those allowed to see amounts, the Total amount.

Below, you choose the axis β€” Customer, Project, Person or Tag β€” and the table reorganises. The totals at the top don't change when you switch axis: they belong to the period, not to the grouping.

The Trend over the period chart shows hours over time, grouped by day, week or month. Weekly grouping respects the day your week starts on, set in the workspace.

Rows that add up to more than the total

On the Tag axis, work with two tags appears on both rows. Adding the rows up therefore exceeds the period total β€” and the screen warns you when that happens.

The correct number is always the total at the top. It's calculated over the whole period rather than by summing rows, precisely so the same period shows the same total on all four axes.

The detail

Below the grouped table sits the list of Entries β€” date, person, project, description, billable or not, duration and amount. It's the detail that justifies the numbers above, and it's what you send to the client who asks "what were those 40 hours".

If the total amount looks lower than it should, look for the notice about entries with no rate set: hours without a rate count towards hours and not towards money.

Exporting

The Export button offers three formats, and the difference between them isn't cosmetic:

  • CSV (detail) β€” the entry list, to open in any spreadsheet or hand to accounting.

  • Excel (detail) β€” the same content, already formatted.

  • PDF (summary) β€” the grouped report with the charts. It's the piece that goes attached to the invoice, and that's why it carries the summary and never the whole list: twenty thousand rows in a PDF aren't a document, they're a problem.

If the slice is too large for the chosen format, the screen refuses and tells you how many rows it found β€” so you know how much to tighten the filter instead of trying again blindly.

The PDF with your brand

On the Pro plan, the PDF comes out with the logo and colour set under Workspace β€Ί Report branding. Worth stating clearly: that branding is for the document you send to the client, not for the system's interface. On other plans the PDF is the same report, without the branding.

Where to go next

  • Profitability and budget β€” the reading by whole project, instead of by period.

  • Tasks and tags β€” what the Tag axis can answer.

  • Approving hours β€” what each status in the filter means.

  • Workspace settings β€” where the PDF's logo and colour live.

In short: pick the period (up to 366 days), combine the filters, switch the axis between customer, project, person and tag, and read the top total as the correct number; the detail below justifies the figures; export to CSV or Excel for the detail and to PDF for the summary with charts β€” with your branding, on the Pro plan.
