By default, email invitations go out from an address on the WiseData NPS domain, with your company's name as the sender. On the Business and Enterprise plans you can go further: the invitation goes out from an address on your own domain, like surveys@yourcompany.com. For the recipient, it's your company writing, from the address they already know.
Throughout this article, the example is Wellness Clinic, which wants to send its satisfaction survey from surveys@wellnessclinic.com.
What to prepare
- Business or Enterprise plan. On other plans, the Sending Domain item shows as disabled in Settings.
- Be an account admin in WiseData NPS. Other users can see the screen, but can't register, verify or remove.
- Whoever manages your company's DNS β the IT team or whoever runs the website. They publish the records in the panel where the domain is registered or hosted (Cloudflare, GoDaddy and others). Without that access, the setup can't be finished.
Step 1 β Enter the domain and the address
Open Settings βΊ Sending Domain and fill in:
- Domain β your company's website domain, or a subdomain of it. Wellness Clinic types wellnessclinic.com. You can paste the whole website address: the https://, the www and the path are removed automatically.
- Address β the part before the @. With surveys, the screen already shows: "Invitations will be sent from surveys@wellnessclinic.com".
Click Save domain. Replies to the email don't go to that address: they go to the reply-to address you confirmed in the Sending Email tab. That's why the sending address doesn't need to be a mailbox someone reads.
Step 2 β IT publishes the DNS records
After saving, the screen lists the records that prove the domain is yours and authorize sending on its behalf. Each record shows Type, Name and Value (and Priority, for MX), each with a copy button, and a badge saying whether it has been found:
- Domain ownership β a TXT that proves the domain belongs to your company.
- DKIM signature β three CNAMEs that sign each message, so the recipient's provider knows it wasn't forged.
- Return address (MAIL FROM) β an MX and a TXT on a subdomain, where delivery notices come back to.
- Click tracking β a CNAME that makes the survey link show your domain.
- DMARC policy β the domain is only ready with a DMARC policy published. If it already has one, that one counts: don't create a second, because two policies on the same domain invalidate both.
All of them are required. The names start with their own prefixes, so they don't touch the email your company already uses.
If your DNS is on Cloudflare, you don't need to copy them one by one: click Export zone (.txt) and import the file under DNS βΊ Records βΊ Import. The file already sets the CNAME records to "DNS only" and leaves DMARC out when the domain already has one. If you add them by hand on Cloudflare, keep the CNAMEs as DNS only (grey cloud): with the proxy on, signing and tracking never verify.
Step 3 β The check and the notice
You don't need to keep checking. Verification is automatic, and the account owner and admins get an email when the domain is ready. DNS propagation takes from minutes to a few hours. If you want to speed it up, click Verify now; the button can be used once a minute and shows the countdown to the next try.
Domain statuses
- Checking DNS β not all records have been found yet. Invitations keep going out normally from the WiseData NPS address, with your company's name and reply-to address.
- Ready β invitations now go out from your domain. The screen confirms the address under "Invitations are being sent from".
- Has a problem β the domain was ready and some record is no longer found (someone deleted or changed it in DNS). No survey stops being sent: meanwhile, invitations go back to the WiseData NPS address. The screen says which record is missing; publish it again and the domain comes back on its own.
- Not verified β the automatic check gave up after a while without finding the records. Make sure they were published exactly as on screen and click Verify now to resume.
When the domain becomes ready, fails or comes back, the owner and admins get an email. Nobody finds out about the change only when opening the screen.
Changing or removing the domain
Change lets you switch the address or the domain. Switching domains removes the previous one: invitations go back to the WiseData NPS address until the new one is ready, and IT publishes the new domain's records. Remove asks for confirmation and sends invitations back to the WiseData NPS address, with your company's name and reply-to. The records in your DNS can be deleted afterwards.
How to know everything is right
With the Ready status, run the test send when creating the survey. If the email arrives from surveys@wellnessclinic.com, everything is ready. The Sending Email tab also starts showing that address in the inbox preview, with the address on the WiseData NPS domain as a fallback.
Where to go next
- Sending channels β email next to the other channels, and each plan's limits.
- Creating and sending surveys β the test send before going live.
- WhatsApp with your company's own number β the same care for your brand, on WhatsApp.
In short: on Business or Enterprise, an admin enters the domain and address in Settings βΊ Sending Domain, IT publishes the records (or imports the .txt into Cloudflare), WiseData NPS checks and lets you know by email, and from the Ready status on invitations go out from your domain β with no survey stopping in the meantime.
