Logs show who viewed, downloaded, changed or deleted what in the account, and when. They answer the questions that come up later: who exported the responses, who deleted that form, whether someone opened a client's intake form. At ClΓnica Vitta, in Miami, Dr. Helen used Logs to find out who had downloaded the intake spreadsheet the week before.
Where it is and who sees it
In the side menu, Logs. Only the account owner sees this item; for the rest of the team it does not appear. Records are kept for everyone in the account, the owner included.
What is recorded
Each record falls into one of six categories:
- Responses β opening the response or incomplete list, opening a response, downloading the PDF, changing triage (read, tags, note, archive), moving to trash, restoring, permanently deleting, bulk actions, requesting and downloading the export.
- Forms β creating, saving the draft, publishing, deactivating, reactivating, deleting, duplicating, restoring a version and changing a setting (limit and closing date, email notifications, tracking, link alias, logo, retention period, invite-only access, PDF layout).
- Invites and QR β creating, generating in batch and revoking response invites; creating, enabling and disabling QR Codes.
- Integrations β webhooks (create, change, delete, change secret, test, send again) and Google Sheets (connect, disconnect, link, unlink, resend).
- Privacy β searching and deleting a data subject's data, and each time the retention period deleted responses.
- Account β sign-ins, turning two-step verification on and off, invitations and team changes, custom domain.
So the list does not turn into noise, two repetitive actions have their own rule: opening the response (or incomplete) list becomes one line per person, form and day; saving the draft, which the editor does on its own at every pause, becomes one line per person, form and hour.
What never goes in
- What was answered. The record says "opened response #37", never its content, the internal note or the tags.
- Addresses and secrets. A webhook shows by number, without the URL or the secret; a linked spreadsheet, without the link.
- The data subject's data. Searching and deleting a data subject's data records whether it was by email or ID document and how many records were found, never the email or the document.
- Account housekeeping: changing the account logo, editing a QR Code's design and creating, renaming, moving or deleting folders.
Who shows as the author
- The name of the team member who acted.
- System (automatic routine) β what happens on its own, such as the retention period deleting old responses.
- WiseData support β when our support acted in your account to handle a ticket.
- Removed user β someone who has left the team. What they did stays recorded.
Filter
The screen opens on the current month. Above the list you have:
- Category β one of the six above, or All categories.
- Record type β the specific action, such as "Downloaded a response export". The list adapts to the chosen category.
- Period β any range up to today.
- Form β click the form name on any row. "Showing only the records of Intake form" appears, and the Show all button clears the filter. It also works for a form that was already deleted.
That is how Dr. Helen found the answer: Category Responses, Type Downloaded a response export, last week as the period and a click on "Intake form". One line came up, with Julia's name.
The detail of a record
Details, on the row, opens the whole record: what happened, the category, the date and time down to the second, who did it, the origin (the access address, the browser and the system) and the form, with a link to open it. When the record is about a response, there is also an "Open response #37" link.
How long
Each record is kept for 1 year and then removed on its own. When the account is deleted, its records are deleted with it.
Where to go next
- Roles and invitations (Team and roles collection) β who can take each action that shows up here.
- Data subject deletion request (Security and privacy collection) β what is recorded for each request.
- Response retention (Security and privacy collection) β the "Retention period applied" record.
In short: Logs, which only the owner sees, keep for 1 year the actions on responses, forms, invites and QR, integrations, privacy and account, with author, date and origin, and never store what was answered; you can filter by category, type, period and form, and open the detail of each record.
