With Google Sheets linked, each form response becomes a row in a Google spreadsheet right after it is submitted. It is for teams that already work in spreadsheets: filter, add up, chart, share with people who do not use the dashboard. At ClÃnica Vitta, in Miami, the front desk follows the intake forms in a shared spreadsheet and adds up the value of closed packages there.
1. Connect the Google account (once per account)
In Settings › Google Sheets, "Google account" card, click Connect Google account. Google opens in the same window and asks for permissions; keep "see, edit, create and delete only the specific Google Drive files you use with this app" checked, or the connection comes back with "Without the permission for the Google Drive files used with WiseData Forms the responses cannot be sent". Back in the dashboard, the card shows the Google account email and the status Connected.
- WiseData Forms only sees the spreadsheets it created and the ones you choose in Google Drive. The rest of your Drive is out of its reach.
- Each WiseData Forms account connects one Google account, used by every form.
- Only the account owner connects, links spreadsheets and sees the sends.
- WiseData Forms only creates spreadsheets and adds rows: it never deletes anything in your Google account.
- The copy in the spreadsheet becomes your responsibility. Deleting a response in the dashboard, through the trash, the retention period or a data subject request, does not delete the spreadsheet row.
2. Link the form to a spreadsheet
In Forms › (form) › Integrations tab › "Google Sheets" card, click Link spreadsheet and choose Where to save the responses:
- Create a new spreadsheet — Forms creates a spreadsheet in your Google account named after the form, with a "Responses" tab, the header ready and the first row frozen.
- Use an existing spreadsheet — click Choose from Google Drive. Google's own window opens, showing only spreadsheets; pick the front desk one and the dialog shows "Chosen spreadsheet: Vitta Front Desk". If you already have the link, paste it first into Spreadsheet link (optional): the Google window opens right on it. Forms adds a new tab named after the form ("Intake form"; if that name is taken, "Intake form (2)") and does not touch the existing tabs.
For an existing spreadsheet, choosing it in the Google window is what grants access: pasting the link alone is not enough. The connected Google account must also be able to edit it. If Google does not grant access, you see "The connected Google account has not given access to this spreadsheet"; choose again with the button, now called Change spreadsheet.
If the button asks you to reconnect the Google account, the connection was made with an older permission. Reconnect in Settings with the same account. Spreadsheets Forms created keep receiving; a spreadsheet that had been linked only by its link shows Unlinked at the next send, and you just choose it again in Google Drive.
Check Also send the existing responses if the form already has responses. They go in batches, in number order, starting about 30 seconds after linking, and the card shows the progress ("Sending existing responses: 120 of 340."). If sending stops, the Resume button continues where it left off, without repeating a row or skipping a response.
Each form writes to one spreadsheet at a time. Change spreadsheet links another one and stops sending to the current one.
3. How the columns work
The columns are the same as the export: No., Received at, one column per question and the source columns (utm_source, utm_medium, utm_campaign, utm_term, utm_content, Referring site, Landing page, Device, Browser, Operating system, Country, State, City and Time to complete). Status, Tags and Internal note are left out, because they change after the row is written.
- A new question gets a new column at the end. No existing column moves, so formulas and charts pointing at column D stay correct.
- A renamed question stays in the same column.
- A question hidden by logic leaves the cell blank.
- Money goes as a number, so you can add it up: a "Package price" of $1,250.50 becomes 1250.5, and the column next to it, "Package price — currency", holds USD.
- Text goes as text: an answer that starts with "=" does not become a formula.
- Renaming the tab works; Forms still finds the right tab.
- Deleting the tab or the spreadsheet, or removing the Google account's access, turns sending off right away. The card shows Unlinked and the owner gets an email. To resume, link a spreadsheet again.
4. Follow the sends
On the form card, View sends shows the last 30 days: When, Response ("Response #37"), Result (Sent, Queued or Failed, with the reason) and Attempts. The row sent is not stored; only what happened to it shows.
When Google does not respond, Forms retries on its own after 2 minutes, 5 minutes, 30 minutes and 2 hours (5 attempts). If time ran out in the middle of a write, the next attempt checks the spreadsheet before writing, so the row is not duplicated. A send that failed for good gets a Resend button, as long as the response exists.
To see every form at once, use Settings › Google Sheets › Recent sends, with the Result filter. The Retry failed button queues again every failed send to spreadsheets that are still linked.
When Google refuses access
If the Google account changed its password or removed the permission, the status changes to Reconnect and the owner gets an email. Until you reconnect, new responses do not reach the spreadsheets. Click Reconnect in Settings › Google Sheets with the same Google account and then Retry failed, to send what was left behind. Reconnecting with a different account unlinks the spreadsheets, as with disconnecting below.
Unlink, disconnect and switch Google accounts
- Unlink, on the form card — new responses stop going to the spreadsheet. It stays in your Google account with everything already sent.
- Disconnect, in Settings › Google Sheets — WiseData Forms' access to your Google account is removed and every linked spreadsheet switches to Unlinked right away, with the notice "The Google account that gave access to this spreadsheet was disconnected". The spreadsheets stay in your Google account.
- Switch Google accounts — disconnect and connect the other account. The previous account's spreadsheets do not carry over: on each form, use Link spreadsheet again, creating a spreadsheet or choosing one from the new account's Google Drive.
Connecting, disconnecting, linking, unlinking and resending are recorded in Logs, without the spreadsheet link.
Where to go next
- Webhooks (Integrations collection) — to send each response to your own system or another tool.
- Exporting responses to CSV or XLSX (Responses collection) — the same set of columns, in a file.
- Data subject deletion request (Security and privacy collection) — what is deleted in the dashboard and what stays in the spreadsheet.
- Roles and invitations (Team and roles collection) — why only the owner handles integrations.
In short: the owner connects a Google account in Settings › Google Sheets and, in each form's Integrations tab, links a new spreadsheet or a new tab in an existing one chosen in Google Drive, with the option to send existing responses; a new question becomes a column at the end, money goes as a number with the currency next to it, deleting the tab or disconnecting the account turns sending off, and the 30-day history shows each send with Resend for what failed.
