Payroll: from employees to payment and the receipt

Payroll connects several parts of the company in a single flow: the employees you register, the charges that come from your taxes, the accounts the money comes out of and the receipts that reach each team member. All of it is organized in four tabs, from the employee to the completed payment.

The four tabs

  • Pending payrolls β€” the generated payrolls not yet paid.

  • Employees β€” your team's registry.

  • Processed payrolls β€” the payments already made.

  • Recurrences β€” the automatic payroll, which repeats each cycle.

Before you start: configure the taxes

Payroll automatically calculates each employee's charges β€” INSS and IRRF (Brazilian social security and withholding income tax) β€” based on the rates configured in the Taxes module. So, if the taxes aren't configured yet, the screen shows a warning with a shortcut to that setup. Without it, the charges aren't calculated correctly.

Registering an employee

On the Employees tab, click New employee. The registration has three blocks:

  • Personal data: Name (required), Email and Phone. The email is what will be used to send the receipt.

  • Professional data: Position and Department (chosen among the ones you register), Salary (required), Hire date (required), Status (active or inactive) and, when inactive, the Termination date and reason.

  • Address: country, state, city, street, number, district, complement and ZIP code.

In the employee list you filter by status, department and position, and you can edit, deactivate or reactivate each one. Employees aren't deleted β€” they're deactivated, preserving the history.

Positions and departments: these are the company's own registries. Create them once (in the employee category settings) and reuse them across all team members β€” it's what organizes payroll by area and lets you filter and analyze the team.

Generating the month's payroll

On the Pending payrolls tab, click New payroll. You choose the employees in two ways:

  • Selecting specific employees (one or several); or

  • Marking all active at once.

Enter the reference month and confirm. The system creates a pending payroll for each selected employee, already with the amounts calculated from the registered salary.

Each payroll's calculation

Each payroll item (one employee's payroll) can be opened and adjusted. The calculation follows this logic, shown live:

  • Gross salary β€” the starting point.

  • (βˆ’) INSS and (βˆ’) IRRF β€” the charges, calculated automatically from the rates configured in the taxes.

  • (βˆ’) Other deductions β€” a free field for additional deductions (advances, absences, etc.).

  • = Net salary β€” the final amount to pay the employee.

You can also add notes to the item. The calculation summary appears on the screen itself, so you can check the net before paying.

Paying the payroll

On the pending payroll, use the pay action. The modal shows the employee and the net amount (read-only) and asks for:

  • Payment date;

  • Payment method (transfer, PIX, deposit, check, cash);

  • Account the amount comes out of (it deducts the balance);

  • the β€œSend receipt by email” option β€” when checked, the employee's email comes pre-filled, and the receipt is sent automatically once the payment is confirmed.

Before confirming, you can click View receipt to check the pay slip. Once the payment is confirmed, the payroll leaves β€œpending” and moves to processed.

Processed payrolls: receipt and reversal

On the Processed payrolls tab, each payment offers three actions:

  • Generate receipt β€” opens the pay slip to view or print.

  • Send by email β€” resends the receipt, with the recipient, subject and message you define.

  • Reverse payment β€” undoes the payment, returning the payroll to pending (useful if something was paid by mistake).

Recurring payroll

On the Recurrences tab, you automate an employee's payroll: you set the cycle and the system starts generating the payroll on its own at the next run. The list shows the cycle, the next and last run and the status (active or paused). You can pause/resume, edit or delete a recurrence at any time. It's the way to avoid recreating the payroll every month.

Who can view and manage

Payroll is a sensitive area. Viewing the payroll requires its own permission, and managing it (registering employees, generating and paying payrolls, creating recurrences) requires another. Users without access can't even open the screen.

Tip

Set up the taxes before the first payroll, register positions and departments to organize the team and, for fixed salaries, use recurrences. With that, the monthly close becomes a few clicks: generate, check the net, pay and send the receipt.
