Once created, a template goes through Meta's review and can only be used in a campaign when it is Approved. The Templates page follows that path and is where you edit, duplicate and delete templates. This article follows Loja Bem Viver's promo_black_friday from review to reuse the following year.
The statuses
- Draft β saved only in SendFast; not yet sent to Meta.
- Under review β submitted; Meta is assessing it. It usually takes from minutes to a few hours.
- Approved β ready for campaigns. Only approved templates show up when you create a campaign.
- Rejected β Meta turned it down. Adjust the content and submit again.
- Paused and Disabled β Meta suspended its use, usually because of low engagement or recipient reports. While it stays that way, you cannot send with it.
Status changes arrive on their own: as soon as Meta decides, the list updates, and the account owner gets an email when the template is approved or rejected.
The template list
The list shows Name, Category, Language, Created at, Created by and Status, with search by name and status and category filters. Click the name to open the message preview, as the contact will see it, already with the SAIR button; from there, Edit opens the form.
Syncing with Meta
The Sync button, at the top of the page, fetches every template of your WhatsApp account from Meta and updates status and category in SendFast. It also brings in templates created outside SendFast β in Meta's WhatsApp Manager, for example β, which can then be used in campaigns if they are approved. Templates that no longer exist at Meta show as deleted.
Syncing requires the number to be connected. On screen, the button shows for people with the Admin role.
Editing a template
Drafts can be edited freely, including name, language and category. A template that went to Meta has name, language and category locked; everything else can change with the Save changes button. Every edit goes back to review and the template returns to Under review ("Template updated. Awaiting Meta re-review.").
Be careful with scheduled or sending campaigns. A message only goes out if the template is approved at the moment of sending. If you edit a template used by a campaign that is still sending or scheduled, the messages that try to go out while it is under review fail with the reason Template not approved. To change a message already in use, prefer Duplicate.
Duplicate
Duplicate, in the row menu, opens a new template prefilled with the original's content and a suggested name ending in _copia. Here name, language and category can be changed. It is the way to:
- create the same message in another language;
- make a variation without touching the template that is approved and in use;
- reuse the structure from one year to the next β Camila duplicated promo_black_friday as promo_black_friday_2027 and only changed the discount text.
Delete
Delete is only for people with the Admin role and removes the template from Meta as well. It cannot be undone. A campaign that still uses the deleted template can no longer send with it, and messages fail with the reason Template removed. Before deleting, check in Campaigns that nothing scheduled or sending uses it.
Deleting a draft only removes it from SendFast.
Who can do what
Members and Admins create, edit, duplicate and submit templates for approval. Only an Admin deletes and sees the Sync button.
Where to go next
- Create a message template β each part of the form and the button limits.
- Campaigns β use the approved template in a send.
- Media library β the templates' media samples, including synced ones.
In short: a template moves from Draft to Under review and is only usable in campaigns when Approved, the list updates on its own and Sync also brings in what was created outside SendFast, every edit goes back to review, and to change a message in use the safe path is Duplicate.
