The Workspace screen gathers the decisions that apply to the whole workspace β€” and therefore to everyone tracking hours in it. Worth checking early: three of these fields change the meaning of the numbers you'll read later.

Workspace details

  • Name β€” the workspace's name.

  • Time zone β€” decides what day each hour belongs to. An hour tracked at 11 pm locally belongs to that same day; in the wrong zone it lands on the next one, and the report starts disagreeing with the memory of whoever did the work.

  • The week starts on β€” applies to the timesheet, to weekly approval periods and to weekly grouping in charts.

  • Currency β€” the currency of every amount.

The currency locks. As soon as the first rate exists or the first hour carries an amount, the field is blocked. The reason is straightforward: switching the currency would not convert anything. The stored number 15000 means 150.00 in one currency and 15,000 in another β€” the number stays, the meaning changes, and your entire history would start lying silently. Set the currency on day one.

Hour approval

  • Approval period β€” weekly or monthly. Changing it later is safe: submitted periods keep their own dates.

  • Block entries in approved periods β€” on by default. Turned off, the backdated hour is accepted, the period goes back for approval and whoever approved it is notified.

  • Admins see cost and margin β€” grants cost reading to admins. Creating and editing cost stays with the account owner.

Default rate and recalculation

The Default rate is the hourly value applied to anything without a more specific rate on the project, customer or person. It's the first number to fill in when you start using amounts.

Just below, Recalculate amounts reapplies current rates to the hours in a period. Use it when a rate was entered wrong β€” and read the confirmation: if the period was already invoiced, the amounts will stop matching the invoice you sent.

Report branding

Here you set the logo and the main colour applied to the report PDF you send to the client. It's worth being precise: this branding applies to the generated document, not to the system's interface.

The logo accepts PNG, JPG or WEBP up to 512 KB. SVG is not accepted. Report branding is part of the Pro plan.

Budget alerts

Choose the percentages of the hour budget at which the team is warned by email β€” 80% and 100%, for example. With no percentage selected, nobody gets budget alerts in that workspace, and the only way to notice an overrun becomes opening the Profitability screen.

More than one workspace

A workspace separates customers, projects and hours. Creating additional ones makes sense when the operation has fronts that don't mix β€” an agency and a video studio with different teams and portfolios. Each has its own time zone, currency and approval rules, adjustable after it's created.

Multiple workspaces are part of the Enterprise plan. If you move down a plan, extra workspaces are not deleted: they come back when the plan is reactivated.
